YSA's Annual General Meeting (AGM)

Unfortunately due to COVID-19 our AGM has been moved to an online platform this year. Please see the information below for more details. -- Applications are now open for YSA's 2020 Executive Committee! --  Our AGM is coming up on Saturday the 29th of March at 11pm, via the online platform of Zoom. This is your chance to get involved with a community that you've grown to love, or just a way to see what goes on behind the scenes if you're new to YSA!! We will also be electing our new committee for the next year - this is open to old members, new members, and even returning members. Roles range from the scary, scary President position (they call the shots within YSA and are a key part of setting up our goals and future ideas) , to a much more low-key general member (GeM) who's role it is to provide input and help out when they can (it's a great way to dip your toes into our committee and help you can help out in all areas!). Anyone is allowed to run for a committee position as long as they have been a member for at least 7 days before the date of the AGM AND have a CURRENT membership on the day - however, if you're interested in an office position (President, VP - Science, VP - Socials, Communications, Secretary, Treasurer), you will also need to be over the age of 18 and have served on the committee for at least 9 months prior.  Applications for committee positions CLOSE ON Sunday the 22nd of March so make sure to get yours in quickly! If you would like to know more about being on the committee, just ask anyone who's currently on committee or email exec@melbourne.ysa.org.au , and they'll be more than happy to answer any questions! Greetings, YSA Melbourne! This September social, we are having a games day in the park, with a BBQ and plenty of food . So come and down with your friends and have a good time. Simultaneously, we are also holding an SGM.  This meeting has a little added extra, a special general meeting (SGM) has been called to review and approve the financial report for the 2018-19 financial year, as required by our constitution and Consumer Affairs Victoria. We will also modify the constitution at this meeting.  This meeting will be very very short (roughly 15 minutes) and will be combined with the BBQ and games. However,  if you are unable to join us for the meeting, please call in if available or fill out a proxy form and delegate your vote - we'll be publishing details of how to do so on this page before the event.  Why do we need to be there, anyway? It's important that you, as our membership, have the opportunity to see how YSA is being run, and we'll also need lots of voters to ensure that we can reach quorum (having enough attendees). If this doesn't happen, it'll kick up some administration problems for us, which means it'll be harder for us to organise events and activities for you all! This date was chosen to closely align to our current exec year (March-March), allowing the outgoing treasurer to finalise and present the year’s financial matters to the organisation at the AGM, rather than having to hold a separate SGM every year in ~August. This will allow everyone to work more efficiently and focus on their work. The date of 15th Feb was chosen to avoid the first couple of weekends, where large post Summer socials/membership renewals/camp payments are often being received. Current Text: 3 Financial Year The financial year of the Association is each period of 12 months ending on 30 June. New Text: 3 Financial Year The financial year of the Association is each period of 12 months ending on 15 February Change 2 It is proposed to amend rule 29 as shown to better reflect the legal requirements of incorporated associations returning annual reports to CAV. This change will have no effect on the status quo. New Text: 29 Annual general meetings The Committee must convene an annual general meeting of the Association to be held within 5 months after the end of each financial year. Change 3 It is proposed to amend rule 79 with the additional two subrules as shown below to allow the exec to open a separate account and authorise a single person to operate that account. In order to prevent misuse, this is written to limit the amount of cash it is allowed to contain, and ‘top ups’ must be approved by the committee. The idea behind this change is that it would basically allow us to get a debit card for use eg shopping for camps, which would allow members of the committee without significant financial resources to be more active in running these events New Text: 79 Management of funds (3) The Association may open a second account with a financial institution, which may be operated by any signatory separately. (a)  Any funds transferred to this account from the main account must be approved by the committee, and (b) must not exceed 20% of the Association’s cash. (4) The Committee may authorise any signatories of the account specified in (3) to expend the funds in this account on behalf of the Association (including by electronic funds transfer) up to a specified limit without requiring approval from the Committee for each item on which the funds are expended

With the YSA National Conference happening on the final weekend of July, we figured we'd celebrate having our inter-state friends over in style - and what better way than with some good ol' Mexican!! We'll meet up at the local train station (Glenferrie Station), then head on over to Fonda Mexican as a group. At the end of the night, a group of over 18 year olds will also take everyone back to that same train station. There's no better time to find out what's happening in other states, and maybe even put your foot in the door for inter-state TCSE? Make sure to get in quick, a booking with the restaurant will be made by Wednesday, the 24th of July​​​​​​. If you miss out, you'll only make the non-Melbournians sad :'( --- You are also welcome to join us during the National Conference (NatCon)! This is a chance for you to see the inner workings of YSA and how we work with our other chapters, as well as how other chapters operate. You'll also get the chance to make lots of new friends, with people coming over from Brisbane, Sydney, AND Adelaide! It is an exciting opportunity to learn some cool new skills, improve on ones you already have, or just to hang out on some squishy mats! 2019 Annual General Meeting Our AGM is coming up on Saturday the 23rd of March at 11:00 am, at the Royal Society of Victoria. This is your chance to get involved with a community that you've grown to love, or just a way to see what goes on behind the scenes if you're new to YSA!!  A group will be leaving for RSV from melbourne centeral at 10:35 am SHARP. If you are going to be late please contact Jess at 0458940908.  At the AGM will also be electing our new committee for the next year - this is open to old members, new members, and even returning members. Roles range from the scary scary President position who calls the shots, to a much more low-key general member (GeM) whose only job is to provide input and help out when they can. As a member, AGM is your big chance to have your say in how our organisation should be run. Anyone who has been a member of YSA for at least 7 days can run for a general committee position, we'd love to see you nominate! The Annual General Meeting will be held at the Royal Society of Victoria (8 La Trobe St), starting at 11am sharp. A group will be meeting at Melbourne Central, next to the shot tower at 10:30 to walk up together. In order to run for and hold a Top Six position, you need to have served on the Committee before for at least one term, and be over 18 years of age at AGM. The Top Six Positions are: President While the name is big and scary the main job of the president is delegation and keeping everything on track. While there are no major jobs that the president is directly involved in they need to make sure that everything that goes into running the organisation happens. Their vision is the directions in which the organisation takes for the future.  Vice President (Events) Vice President Events is similar to the previous position of social coordinator. VP events coordinates, plans and improve the socials and events that are held by YSA. While they won't run every social themselves it is their job to make sure that the event is being organised and that everything goes out on time so everyone can have the best time possible.  Vice President (Science Outreach) Vice President Science focuses on the science outreach of YSA. This involves all the coordination and cooperation which goes into creating the volunteering opportunities for YSA members. Such as contacting other organisations and communicating with those we wish to be involved with. Their bright ideas lead to the science events which we do in the future and allow us to promote science to all.  Secretary Secretary is mainly involved in the legal preceding of the organisation. It is their job to organise the monthly committee meetings so that they run smoothly, to keep minutes of these meeting so everything is kept honest and available for reference and completing other formal paperwork, such as the tax return which all organisations are required to do.  Treasurer The treasurers life is all about the money and spreadsheets.  The treasurer has the most constant job requirement, which is keeping track of how much we own, spend and gain. This allows us to plan opportunities for the future without running out of the funds to make these things happen as well as keeping the organisation afloat.  Communications Officer The communication officer tracks and manages our public image and contacts. This ranges from organising and proofing the writing of emails, to Facebook posts and Instagram stories.  It is their job to make sure that everything we send out matches our message and that the people we work with has a clear idea of what is happening.    General elected member (GEM): Ordinary members make up the rest of the committee. These positions offer a whole range of opportunities: from introductory positions to learn the ropes, to places for those ready to give a little more to a specific area or project. Plus, these are open to all members of YSA to take on! You don’t need to be over 18 or have any previous experience, just keen to jump on the committee and have a go. If you would like to know more about being on the committee, feel free to ask anyone who's currently on the committee and they'll be more than happy to help! I'm keen, what do I need to do? This is a pretty simple process: all you need to do is choose a position, find someone to nominate you (can be yourself or any other member of YSA), and two people to support (or 'second') your nomination. Then, send an email to our secretary that looks like this:  Position: (Position you're nominating for) Nominee: (Nominee's full name) Nominator: (Nominator's full name) Seconders: (Full names of both people seconding nomination) Please note that if you would like to run for one of the top 6 positions, you must have served at least 9 months on the committee previously, and be over the age of 18! If you don't meet these requirements, we'd love to see you join us as a General Member - you'll get a chance to see how YSA works, get invovled with all aspects of our organisation, and make a meaningful contribution! If you do this before Saturday March 9th, and include a little info about yourself and a photo, we'll post it on our website for everyone to look at! Can't make it? If you can't make the meeting and want to submit a proxy (to allow another member, or the chairperson of the meeting, to vote for you) or attend the meeting via telephone/videocall, check out the details of how to do so at this link. Post AGM Social After the AGM, we'll be heading back to Melbourne Central for lunch, before moving up in melbourne centeral towards strick bowling where as a new committee member show the membership your skills, or as a member to put the committee in their place. Then look no further and come on down to the annual YSA February Ice-Skating social. Escape the heat, bring your friends and show off your fine skating skills as YSA goes rink-side at the Olympic Ice Skating Centre, Oakleigh on the 17th of February. Are exams over? Not much going on? Missing your friends? Then why not you come down for our last major social of the year, the Annual Science Dinner. Co-hosted by YSA and ANZAAS, the evening will feature not only fine food but also a guest speaker scientist.  This year we are proud to have Dr Marguerite Evans-Galea, a molecular biologist at the Murdoch Children Center and Melbourne University as well as executive director of the 'Industry Mentoring Network', as our guest speaker for the evening.  So come on down! It will be a great chance to speak to a fellow scientist and expert of her field but also mix and mingle with fellow YSA and ANZAAS members. EVENT DETAILS:  WHO? Why you of course! Feel free to bring along your friends, family, pet dog and neighbour too! WHAT? YSA is hosting a marvellous event combined with the members of ANZAAS to provide our members a chance to socialise, eat amazing food and listen to our guest speaker, Margaret Evans-Galea!  WHEN? Friday November 16th, 6PM - 9PM WHERE? 8 La Trobe St, Melbourne VIC 3000, at the Royal Society of Victoria (RSV)  https://goo.gl/maps/Px9ZToabY9G2 WHY? Why not?  HOW? How do we get to and from the event site?
